Code of Conduct
All participants are expected to adhere to the following Code of Conduct to ensure a safe, respectful, and fair environment for everyone involved in our martial arts program. By participating in our classes, you agree to abide by these guidelines.
Purpose
The purpose of this Code of Conduct is to promote positive behaviors, ensure a safe and respectful environment, and prevent ineffective or socially inappropriate interactions.
Acknowledgment of Human Imperfection
We recognize that perfection is unattainable and that everyone will make mistakes. This Code serves as a guide to help address behavior and social interactions in and out of individual and group activities.
Promoting Positive Behaviors
- Start and end conversations appropriately: Start and end communication so that the exchanges reinforce respect and prevent over exaggeration.
- Express gratitude and disagree constructively: Encourages resilience, promoting an attitude of integrity and perseverance.
Ensuring a Safe and Respectful Environment
- Maintain eye contact and handle physical contact appropriately: Ensures all interactions, especially physical, are conducted with the utmost respect and consent, adhering to safety standards. While maintaining eye contact may not always be practical during participation in each activity, always prioritize clear communication and mutual respect.
- Share feelings appropriately and manage frustration: Share your feelings and needs clearly so everyone can understand and respect each other.
Preventing Ineffective or Socially Inappropriate Interactions
- Communicate clearly and use understandable gestures: Purpose is to promote an effective learning environment.
- Prevent repetitive behaviors unrelated to tasks: Keep sessions focused and efficient, respecting the time and effort of all members.
Regarding Individual and Group Communication
- Ask supportive questions and maintain conversations: Builds a supportive community, encouraging continuous improvement and empathy.
- Change topics helpfully, ensure good timing and clear messaging: Facilitates smooth, respectful, and constructive exchanges.
- Take turns speaking and match communication to the audience: Ensures inclusivity and respect for diverse learning and communication styles.
- Clarify misunderstandings and encourage effective communication: Minimizes conflicts and enhances learning through clarity and openness.
- Using languages: Provide support and use clear, simple language or translation services when necessary and feasible to ensure effective communication.
Respect and Courtesy
- Show respect to instructors, fellow participants, and staff at all times.
- Use polite and respectful language. Offensive, discriminatory, or inappropriate comments are not tolerated.
- Listen attentively when others are speaking and avoid interrupting.
Adherence to Class Rules
- Follow all instructions given by the instructor promptly and accurately.
- Arrive on time for classes and notify the instructor in advance if you need to miss a class.
- Participate fully in all activities unless you have a medical reason or have discussed a modification with the instructor.
Safety and Hygiene
- Wear appropriate clothing and footwear for martial arts practice. Remove any jewelry or accessories that could cause injury.
- Maintain personal hygiene to ensure a clean and safe environment for everyone. This includes washing hands, wearing clean attire, and using deodorant.
- Report any injuries, illnesses, or medical conditions to the instructor before participating in the class.
- Do not engage in sparring or any physical contact without the instructor’s permission and supervision.
Inclusivity and Accessibility
- Support and encourage fellow participants, regardless of their skill level, background, or physical abilities.
- Accommodate and respect the needs of participants with disabilities or accomodations.
- Foster a welcoming environment where everyone feels valued and included.
Ethical Behavior
- Use martial arts techniques responsibly and ethically. Do not use skills learned in class to harm others outside of the training environment.
- Maintain honesty and integrity in all interactions, both within and outside of class.
- Avoid any form of cheating or dishonesty during training and assessments.
Conflict Resolution
- Address personal disagreements or conflicts with fellow participants privately and respectfully.
- Seek outside mediation assistance if conflicts cannot be resolved amicably.
- Report any instances of bullying, harassment, or inappropriate behavior immediately.
Reporting Violations
Participants are encouraged to report any behavior that violates this Code of Conduct to the venue’s staff or management. Venue staff are trained to handle such reports according to their established protocols, ensuring that all concerns are addressed effectively and appropriately.
For additional guidance or support, participants may also contact the instructor directly. All reports will be handled with confidentiality and care, prioritizing the safety and well-being of all individuals involved.
Instructor’s Review Process

Initial Review: The instructor will assess reported concerns within 7 days to understand the issue and identify appropriate next steps, working in alignment with the venue’s policies.

Collaborative Resolution: The instructor will collaborate with venue staff to gather relevant information and ensure a fair and thorough review. This process will prioritize transparency and adherence to venue protocols.

Outcome Notification: Once the review is completed, involved parties will be informed of the outcome within 7 days. Any necessary actions will be implemented promptly to address the issue and ensure continued safety.

Appeals Process: Participants may submit a written appeal within 7 days of the outcome notification. Appeals will be reviewed according to the venue’s procedures to ensure fairness and impartiality.
Consequences of Violations

Verbal Warning: Minor infractions, such as brief disruptions or lapses in adherence to the Code, will result in a verbal reminder to encourage corrective behavior.

Written Warning: For repeated or more serious violations, a written warning will be issued. This document will outline the concern, expectations for improvement, and potential consequences of further infractions.

Temporary Suspension: Participants who do not comply with the Code after warnings may face a temporary suspension. The suspension period will be determined based on the severity of the infraction.

Permanent Removal: Severe or repeated violations, including harassment, physical aggression, or serious safety breaches, may result in permanent removal from the program. This action is reserved for cases where safety or integrity of the program is at risk.

Appeals Process: Participants may appeal any disciplinary action by submitting a written appeal within 7 days of receiving notice. Appeals will be reviewed thoroughly, with the outcome communicated within 14 days.
Feedback and Improvement
- Provide constructive feedback to the instructor to help improve the class experience for everyone.
- Be open to receiving feedback from the instructor and fellow participants.
- Continuously strive for personal improvement and growth in your martial arts practice.
Privacy and Confidentiality
- Respect the privacy of fellow participants. Do not share personal information or details about others without their consent.
- Obtain permission before recording or photographing any part of the class.
- Ensure that any shared media respects the privacy and wishes of those involved.
Indemnity Clause
- Participants are responsible for their own actions and must exercise caution and good judgment during all activities.
- By participating in the program, you agree to indemnify and hold harmless the instructors, staff, and facility from any claims, damages, or liabilities arising from your participation.
- Ensure that you understand and accept the risks associated with martial arts practice before engaging in any activities.
Legal Alignment
This document has been crafted in compliance with Massachusetts laws, including the Americans with Disabilities Act and anti-discrimination laws, ensuring that it is legally robust and adheres to the highest standards of safety and equality.
Feedback and Revisions
We welcome and encourage feedback from all community members to ensure this Code remains relevant, effective, and reflective of our shared values. Regular reviews will be conducted to adapt and refine our practices.
